What is EMR-Xtract Connector From PatientGain?

The EMR/EHR Connector EMR-Xtract Connector from PatientGain is a HIPAA-compliant software integration tool that acts as a secure bridge between a medical practice’s back-end Electronic Medical Record (EMR) system and PatientGain’s front-end medical marketing and patient acquisition platform.

What is EMR-Xtract Connector From PatientGain?

The EMR/EHR Connector EMR-Xtract Connector from PatientGain is a HIPAA-compliant software integration tool that acts as a secure bridge between a medical practice's back-end Electronic Medical Record (EMR) system and PatientGain’s front-end medical marketing and patient acquisition platform.

The connector securely extracts, imports, and synchronizes patient contact and demographic data so healthcare providers can use clinical data to power automated marketing and retention campaigns without violating patient privacy laws.

Key Capabilities & How It Works

  • Secure Data Extraction & Synchronization: The tool securely reads and extracts data (such as contact info, appointment history, and registration details) from your clinical EMR. It transfers this data over an encrypted HTTPS connection to PatientGain’s secure, US-based servers.
  • Data Cleaning & Deduplication: When patient lists are extracted and imported, PatientGain’s system automatically runs a data scrubbing process to clean incorrect emails and eliminate duplicate entries before launching any campaigns.
  • Two-Way Integration: In addition to extracting data from your EMR, the connector can send data back to the EMR in real time – however this functionality is not supported with all EMRs. For instance, when a new lead fills out a patient intake or scheduling form on your website, that information can be automatically pushed to create a new patient record in the EMR.
  • Automation Methods: The system generally handles data transfers through three methods depending on your practice setup: an Intelligent Auto-loader (file/CSV reader application), direct API integrations (such as the OpenEMR API), or the SFTP integration.
  • Real-Time Data Extraction via HL7 and APIs
  • Instead of manually exporting or reading raw static files, EMR-Xtract Connector establishes a continuous, automated connection with the EMR/PM system through two main methods:
  • HL7 (Health Level 7) Feeds: When a patient is checked out or an appointment concludes, the EHR/PM system automatically sends an HL7 data feed (specifically, scheduling or ADT/Appointment messaging) containing encounter info directly to EMR-Xtract Connector .
  • Real-Time APIs: For cloud-based platforms like AdvancedMD, EMR-Xtract Connector connects through direct developer APIs to automatically pull appointment data from the system’s workflows without staff intervention.

Marketing Applications

Once patient data is safely extracted and synced to the PatientGain platform, medical practices use it to trigger automated workflows including:

  • Monthly email marketing and newsletter distributions
  • Automated text/SMS and email patient recall campaigns (e.g., reminders for annual checkups)
  • Automated review and reputation management requests following a visit
  • Specialized referral or promotional marketing campaigns

Regulatory Compliance

Because moving data between a public-facing website and an internal medical record database is a major regulatory risk, PatientGain provides a legally binding Business Associate Agreement (BAA) with this tool. All data is encrypted both at rest and in transit.

The connector is included at no additional cost if your practice subscribes to PatientGain’s higher-tier GOLD, PLATINUM, or PLATINUM+ comprehensive service packages. If purchased on its own or added to lower plans, the standalone EMR-Xtract Connector is also included in the ReputeMD app

PatientGain’s EMR-Xtract connector app pricing

There is no cost, it is free to use for PatientGain customers. However certain EMRs charge extra to provide SFTP feeds or API Access. They typically will charge the providers. This is a very common practice in medical IT and healthcare software integration.

The breakdown of how this specific integration works and why those secondary fees exist includes:

1. PatientGain’s Side: The EMR-Xtract App is Free

From PatientGain’s perspective, the EMR-Xtract connector app is included free of charge in your software subscription. PatientGain does not charge you a separate licensing, integration, or development fee to activate this app on their end to receive data.

2. The EMR Vendor’s Side: Why Certain EMRs Charge Extra

Even though PatientGain doesn’t charge you, your Electronic Medical Record (EMR) or Practice Management (PM) vendor very well might.

  • The SFTP Feed: To automate review requests, PatientGain needs a daily, secure file transfer (usually an automated CSV export via SFTP—Secure File Transfer Protocol) containing patient contact info from that day’s appointments.
  • The “Gatekeeper” Fee: Many legacy or proprietary EMR vendors (such as older versions of eClinicalWorks, NextGen, or Allscripts) treat data access as a premium feature. They often charge a one-time “integration setup fee” or an ongoing monthly maintenance fee just to unlock and support an automated data export or SFTP bridge to a third-party application.
  • Once you setup a demo with us, we will help you navigate and hopefully you will not have to pay for your own data.
