PatientGain Customer Service For Healthcare Practices

PatientGain Customer Service For Healthcare Practices

PatientGain assigns each healthcare practice a dedicated project manager and a senior technical lead to implement, manage, and optimize their online marketing and patient engagement platforms. Together, they function as a single point of contact (SPOC) for the practice, streamlining their digital operations with a combination of artificial intelligence (AI) agents and expert human support.

Here is an example of what our customer’s say:

PatientGain assigns each healthcare practice a dedicated project manager and a senior technical lead to implement, manage, and optimize their online marketing and patient engagement platforms. Together, they function as a single point of contact (SPOC) for the practice, streamlining their digital operations with a combination of artificial intelligence (AI) agents and expert human support.

The project manager’s (PM) role

PatientGain does not have separate teams for initial and on-going performance optimization. It is the same team who works with you. The project manager (PM) serves as the primary point of communication between the healthcare practice and the rest of the PatientGain team. The PM’s role is to ensure all marketing and patient communication initiatives are running effectively.
The PM works with the practice to:

  • Coordinate the setup and implementation of the PatientGain platform and its various apps.
  • Establish a customized marketing strategy that aligns with the practice’s specific needs, such as a specialty, location, and competition level.
  • Oversee the campaign management and optimization of all marketing and communication applications.
  • Provide strategic guidance and regular reports on campaign performance.
  • Advertising: Project managers have direct access to the advertising team staff who setup and optimize pay-per-click (PPC) and social media advertising campaigns, ensuring they are executed by certified specialists.
  • Ensure the practice’s satisfaction with the service and its return on investment (ROI).
  • Monthly account reviews: There is no limit on how many times you meet with your project manager and technical lead. However, minimum, we request that each customer allocate minimum of 1 hour to have a Zoom meeting with your project manager and technical lead.

The senior technical lead’s role

The senior technical lead is a technical staff expert in PatientGain technology, apps, and websites who collaborates closely with the project manager to manage and optimize the technology behind the PatientGain service for your healthcare practice. Their technical expertise supports a wide range of services, such as:

  • Works closely with the Project manager and PatientGain’s engineering team
  • Website management: Ensures the practice’s website is professionally designed, mobile-friendly, and optimized for high conversion rates.
  • Technical SEO: Implements specialized technical medical search engine optimization (SEO) strategies to increase the practice’s online visibility, including website speed, schema app and Google tag manager, Facebook Pixels.
  • AI implementation: Manages the integration of AI-powered tools, such as the 24/7 chatbot and customer relationship management (CRM) system.
  • HIPAA compliance: The technical lead also ensures that all software and applications adhere to healthcare-specific regulations, safeguarding patient data.

How the team works together

The project manager and senior technical lead work as a coordinated unit to deliver a “done-for-you” service. For example, for PLATINUM service, you do not need to hire another marketing company or use additional apps. It is a very comprehensive marketing solution.

  1. Initial onboarding Zoom meeting: The relationship begins with a Zoom meeting to assess the practice’s needs and PatientGain’s service details. We will ask you a many questions.
  2. Implementation: The PM and technical lead handle the entire setup of the websites, apps, and marketing campaigns, so the practice does not need to hire additional staff.
  3. Automation: PatientGain uses AI agents to automate many marketing and communication tasks, such as lead capture and online reputation management.
  4. Practice staff involvement: While the PatientGain team manages the technical and marketing aspects, the healthcare practice’s staff is responsible for responding to patient inquiries and booking appointments through an easy-to-use dashboard.
  5. Ongoing support: The project manager and technical lead are available for ongoing questions, support, and strategy meetings via email, text, or Zoom. This ensures the practice’s digital marketing strategy is continuously optimized for results.
